Next-Door Rental Privacy Policy

Effective date: October 3, 2026. This policy is issued by Next-Door Rental Inc. (“NDR”, “we”, “us”), 2109 London Line, Sarnia, Ontario N7T 7H2, Canada. It explains how we collect, use, share and protect your personal information when you use nextdoorrental.com, app.nextdoorrental.com, our iOS and Android apps, and any other service that links to this policy (together, the “NDR Services”).

We handle personal information under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Where we ask for your consent (for example, to send you marketing or to set non-essential cookies), you can withdraw it at any time as described below. Using the NDR Services for a rental means we will process the information needed to deliver that rental; you can always choose not to provide information, but some features will then be unavailable.

Our commitments

Personal information we hold is:

  • Used lawfully, fairly and in a transparent way
  • Collected only for purposes we have explained to you, and not used in a way that is incompatible with those purposes
  • Limited to what those purposes need
  • Kept accurate and up to date
  • Kept only as long as necessary for those purposes, then deleted or de-identified
  • Kept securely

What personal information does NDR collect?

Information you give us.

  • Contact details: name, email address, phone number and the addresses you add for pick-ups and drop-offs.
  • Listings and content: photos, videos, descriptions, prices and availability for items you list; the pick-up and return photos both parties take during a rental; ratings and reviews.
  • Messages: the in-app chat between renters and lenders, which we keep so that disputes can be resolved.
  • Account and payout verification: we verify your email address. Lenders who connect a bank account complete Stripe’s verification (KYC). Government ID and banking details for that step are collected and held by Stripe, not stored by NDR; we receive only a confirmation status.
  • Financial information: rental amounts, service fees, security deposits, lender earnings and payouts. Card numbers are entered directly with Stripe and never touch our servers. An optional tax number if you charge HST on your rentals.
  • Location: the address of a listed item, your search location, and (with your device permission) precise location at pick-up and return so both parties have a verified hand-off record.
  • Support and forms: what you send us through contact forms, the earning guide request, email, or in-app support.

Information we collect automatically. When you use the NDR Services we and our providers collect your IP address, device and browser type, the pages and listings you view, searches, clicks and time on page, crash and error data, and cookies or similar identifiers. The “Cookies, analytics and advertising” section below lists exactly which tools do this and how to decline the ones that are not essential.

Information from sign-in providers. If you sign up with Google or Apple, we receive your name, email address and an account identifier from that provider, under their privacy terms.

Why does NDR collect your personal information?

  • To run rentals: create your account, publish listings, match renters and lenders, process payments and deposits through Stripe, record pick-ups and returns, and resolve incidents and claims under our Terms & Conditions.
  • To keep the community safe: verify accounts, detect and prevent fraud, abuse and automated sign-ups, and enforce our Terms.
  • To communicate with you: booking confirmations, messages, receipts, security notices and support replies. Marketing emails and listing tips are sent only with your consent, and every one carries an unsubscribe link.
  • To improve the NDR Services: understand which features are used, fix errors and test changes.
  • To measure our advertising: understand which of our ads and posts bring people to NDR, using the tools listed in the Cookies section.
  • To meet legal obligations: tax records, responding to lawful requests, and PIPEDA’s breach-notification duties.

We do not sell personal information and we do not use automated credit scoring.

Does NDR share your personal information?

Only as described here.

  • With the other party to a rental. When a booking is confirmed, the renter and lender see each other’s name, profile photo, ratings, the pick-up address and the in-app chat. Phone numbers and email addresses are not shown unless you choose to share them.
  • With service providers who work for us. They may only use your information to provide their service to NDR:
    — Stripe (payments, payouts, identity and bank verification) — United States
    — Google (Google Analytics, Google Maps, Sign in with Google, Google Fonts) — United States
    — Apple (Sign in with Apple) — United States
    — Meta (Meta Pixel for advertising measurement) — United States
    — PostHog (product analytics) — United States
    — Automattic / WordPress.com (site statistics, blog subscriptions, video hosting) — United States
    — HighLevel (LeadConnector) (contact forms, email and CRM) — United States
    — email, SMS and push-notification delivery providers, and cloud hosting.
  • Business transfers. If NDR is sold or merged, customer information may transfer with the business, subject to this policy.
  • Legal and safety. When the law requires it, to enforce our Terms, or to protect the rights, property or safety of NDR, our members or others — including sharing with police in a theft report you have filed.

Cookies, analytics and advertising

We use cookies and similar technologies on nextdoorrental.com and app.nextdoorrental.com. They fall into three groups:

  • Essential — keep you signed in, protect forms from abuse, and let Stripe process payments securely. These cannot be switched off.
  • Analytics — Google Analytics 4 (property G-40KSC4NCHN), PostHog and WordPress.com site statistics tell us which pages and features are used. In the app, PostHog also records sessions so we can see where people get stuck: pages, clicks, scrolling and how the screen changes. Everything you type is masked before it leaves your device, and on pages with personal information (sign-in, settings, payments, messages, rental contracts) all text is masked too. These recordings are kept for 30 days.
  • Advertising — the Meta Pixel and Google’s advertising features (Google Signals) measure whether our ads and posts led to a sign-up and may build audiences for our ads on those platforms. They are set only if you accept them.

Your choices. On nextdoorrental.com a consent banner lets you accept or decline analytics and advertising cookies, and you can change your choice at any time from the “Cookie settings” link in the footer. You can also clear or block cookies in your browser, opt out of Google Analytics with Google’s browser add-on, and manage ad preferences in your Meta ad settings and Google ad settings. Declining non-essential cookies never stops you from using the NDR Services.

How secure is my personal information?

  • All traffic to the NDR Services is encrypted in transit (HTTPS).
  • We never store full card numbers, bank account numbers or government ID. Those are entered directly with Stripe, a PCI-DSS Level 1 payment provider.
  • Access to member data inside NDR is limited to the people who need it to run the service and support you.
  • You are responsible for keeping your password private and for the activity on your account. Tell us immediately at the contact below if you believe your account has been accessed without your permission.
  • If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.

How long do we keep it?

  • Account and profile data: for as long as your account is open, then deleted within 30 days of a deletion request except where we must keep it.
  • Rental, payment and payout records: 7 years after the transaction, to meet Canadian tax and accounting rules.
  • Messages, pick-up and return photos, incident reports: 2 years after the rental ends, or longer while a dispute or claim is open.
  • Support and contact-form messages, earning-guide requests: 2 years after our last contact, or sooner when you unsubscribe.
  • Analytics data: per provider settings — Google Analytics 14 months; PostHog events up to 12 months.

Where is my information stored?

NDR is based in Ontario, Canada. The service providers listed above store and process information in the United States, and some may process it in other countries where they operate. While it is there, it may be accessible to the courts, law enforcement and national-security authorities of that country under its laws. We use contracts and provider security commitments to protect your information wherever it is processed.

What can I access, and what choices do I have?

  • See and correct your information in the app under Settings: name, time zone, addresses, listings, availability, earnings and transaction history.
  • Delete your account in Settings → Update Account → Delete account. We remove your personal information within 30 days except the records we must keep (see “How long do we keep it?”).
  • Get a copy of your information by emailing us at the address below. We will send it within 30 days, and may ask you to confirm your identity first.
  • Marketing: use the unsubscribe link in any marketing email, or adjust notification settings in the app. Transactional messages about your rentals continue while your account is open.
  • Cookies: use the cookie banner or the “Cookie settings” footer link on nextdoorrental.com.
  • Device permissions (camera, location, notifications) are controlled in your phone’s settings; turning off location will prevent verified pick-up and return photos.
  • Withdraw consent at any time by contacting us; we will explain what that means for the services you use.

Are children allowed to use NDR Services?

No. You must be 18 or older to use the NDR Services. We do not knowingly collect personal information from anyone under 18; if you believe we have, contact us and we will delete it.

Who is accountable, and how to reach us

We answer privacy requests within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.

Changes to this policy

Your use of the NDR Services and any privacy dispute are subject to this policy and our Terms & Conditions. We may update this policy as the service changes. We will post the new version here with a new effective date and, for material changes, notify you by email or in the app before they take effect. We will not make changes that reduce the protection of information collected under an earlier version without your consent.
